Build a visual proposal that makes scope, alternatives and next steps clear without promising results.

Make the picture and the price describe the same job

A proposal creates confusion when the rendering shows a tree wrap that the written scope does not include. Start with a base installation that you can describe consistently in words and images. Name the elevations, trees and decorations, and distinguish included work from optional additions.

Use the latest reviewed design as the visual reference. Avoid pasting an older attractive render into a new quote because it happens to be convenient. Reconcile the image against the scope line by line before sending.

Use a proposal structure the customer can scan

Lead with the proposed appearance, then explain what is included and what it costs. Keep detailed installation information available without making the first page a technical specification.

  • Property and project reference, using only necessary customer information.
  • Selected image and a short version description.
  • Included rooflines, trees, greenery and other decorations.
  • Product/color choices and any practical assumptions to verify.
  • Your own price, applicable service details and proposed schedule.
  • Optional upgrades clearly separated from the base price.
  • A clear next step using your established approval or contract process.

Present upgrades as a choice, not a surprise

An alternate design is most useful when the customer can see what changes. Show the base roofline, then an option adding the entrance greenery or tree lighting. Keep the camera view consistent. Explain the added scope before presenting its price.

Do not imply an upgrade guarantees higher property value or a particular emotional response. Let the visual make the difference understandable and give the homeowner room to choose. Record the selected option so the crew and office receive the same scope.

After a revision, replace both the picture and any affected scope or price. Retain a record of which version was approved. A well-organized proposal should make the next conversation easier even when the customer does not decide immediately.
